    The President called the meeting held by Google Meeting to order at 6:30pm.

    Discussions

    Approve Minutes – Diane

    A motion was made to approve the minutes from the April 24, 2024, meeting. A motion to accept the minutes was made by Noel, and Dale seconded the motion. The motion was voted on and approved.

    Diane will post the minutes to the forum for the membership.

    Financial – Lance

    April 2024 - Highlights around the Puyallup Spring Fair event included the Zettle merchant fees which were higher for this event, as well as the event insurance and the prize money.

    Christine made a motion to approve the financial report for April 2024, Jane seconded the motion, and it was voted on and approved.

    May 2024 – There were two events in May, and there were judging expenses, prize money in/out, sampling money in/out.

    Christine made a motion to approve the report for May, and Bill seconded the motion, and it was voted on and approved.

    Events:

    Mc Kinley Springs – Prosser

    Diane reported that the McKinley Springs Winery event was very successful.  The organizer was very pleased with the event. The potluck dinner went off very well and most all the teams attended. Lots of great food. Only one or two teams did not attend.
    The “meat pool” method of dispensing samples to the public worked very well, and the organizer had enough volunteers so that the public attending did not have to wait in long lines, and the food was distributed very efficiently.  The only issues were that we did not correctly communicate that this was in fact a no power event, and teams were not adequately prepared to run their generators the whole weekend.  Some needed to get additional fuel. 
    Diane also did not arrange the details of paying the teams $175 for their sampling money, but checks were mailed to the teams within the week following the end of the contest.

    Burlington

    Berry Days was well thought out and organized by the organizers.  There were some Fire Department requirements in terms of set backs for gear, but the load in otherwise went well, considering it had to follow a parade down the street that the teams were competing on.  In the future, the organizer may need to move the event to a bigger area (park), and supply a tent for the judging area.

    Kalama

    There are 25 teams registered for Kalama BBQ, and 11 for Kids Q.  Set up will be similar to prior years. There will be vending on day 1 and day 2.

    Black Diamond

    The contest will be on the street/asphalt.

    Langley BC

    The prize fund might be increased to $15,000CAD if enough teams sign up.  We need to work on finalizing the SCA and CASI registration process.  (Update: This contest has been cancelled.)

    Ellensburg

    James Jones and Jason Bauer are promoting a new contest in Ellensburg, in conjunction with the Ellensburg Rodeo event.  There goal is to drum up new teams in eastern Washington.  They also want to advertise the Rodeo kickoff the weekend before.  The categories would be different types of ribs, beef and pork. 

    It will be the same weekend as the DuPont contest and the Illiani BBQ Festival. We would need to work out the judging details, and who is responsible for what aspects of the contest administration.

    Camp Korey

    There will be a Saturday night (day 1) spaghetti feed for the teams and the judges.  The PNWBA is paying for the dinner.  A motion was made by Jane to approve the PNWBA paying for the cost of the dinner.  The motion was seconded by Sheldon, and it was voted on and approved.

    Sublimity, OR (Unsanctioned contest)

    Dale made a report on the organizer of the unsanctioned contest in Sublimity.  There were only 3 teams that showed up, and the organizer was not organized.

    New Business

    Prize Payouts

    The procedures for publishing the prize payouts for the contests was discussed, and it was decided to not publish the payout schedule until 1 week before the contest, when we know how many teams are showing up.  We will then put the total prize money in an announcement.

    Marketing

    We discussed stickers for 1st, 2nd, and 3rd for each meat at a contest, and for each category going back 5 years.  We also discussed general PNWBA marketing stickers.

    Adjourn:

    A motion to adjourn the meeting was made at 8:03 by Jane and seconded by Sheldon. The motion was voted on and approved, and the meeting was adjourned.
